01The Challenge

Repetitive document intake, time-sensitive court notices, and manual filing across multi-office operations

High-volume immigration and legal practices carry a heavy load of repetitive data entry and firm deadlines. For every case, paralegals and attorneys collect passports, birth and marriage certificates, prior filings, and questionnaires, then re-key the same facts across lengthy government PDF forms and state and federal web portals. Hearing and appointment notices from courts and immigration authorities arrive continuously by email and physical mail across multiple offices. Each notice must be read, matched to the correct case file, and calendared, and a missed deadline or misfiled form can seriously affect clients. Attorneys also needed timely answers about dormant matters, detention rosters, overdue tasks, and retainer audits, but depended on custom reports that took time to produce. To scale responsibly, the firm needed a secure generative AI solution built into its practice-management application, with per-office tenant isolation, PII sanitization, and required attorney verification.

  • Repetitive re-typing of client facts across multi-applicant family petitions and government portals created clerical overhead and risk of rejection.
  • Hearing and appointment notices scattered across multiple office mailboxes created risk of missed court dates and calendar deadlines.
  • Partners and attorneys lacked quick visibility into firm operations and relied on IT assistance for routine case, detention, and billing audits.
  • Legal ethics and confidentiality obligations called for multi-tenant isolation, PII masking before model exposure, and attorney supervision before any filing.
02What We Built

Two-Tier Legal AI Architecture: Document and Forms Engine plus an 84-Tool Agentic Copilot

Cogninest AI designed and delivered two Python microservices integrated into the law firm's practice-management application through shared authentication tokens. The architecture separates background document processing and supervised browser automation from conversational practice intelligence and drafting. Both services use Anthropic Claude models on Amazon Bedrock, with per-office data isolation.

Phase 1: Form Schema Analysis and Document Extraction

Built an automated form library in which Claude Opus 4.5 analyzes blank immigration PDFs into reusable field schemas, paired with Claude Haiku 4.5 vision pipelines that extract structured client facts from IDs, certificates, and questionnaires. Extraction runs at temperature 0 for consistent output.

Phase 2: Supervised Portal Filing and Hourly Mail-to-Calendar Automation

Built Celery- and Kafka-driven browser automation for online filings (I-130, I-131, I-485, I-539, DS-160) under attorney supervision, with no auto-submit capability. Deployed an hourly calendar pipeline that virus-scans attachments and extracts hearing, courtroom, and docket details into staff review queues.

Phase 3: AI Copilot with 84 Live-Data Tools and Read-Only Text-to-SQL

Built a LangGraph-orchestrated practice assistant with 84 domain tools spanning cases, billing, court appearances, and leads, backed by a validated read-only SQL engine for firm analytics, with export to Excel and Word.

Phase 4: Case Briefs, RAG Search, and Citation-Grounded Drafting

Implemented tenant-isolated Qdrant vector collections for document Q&A and automated case briefs. Built a LangGraph drafting flow on Claude Sonnet 4.6 that synthesizes exhibits and prior filings into citation-grounded Word pleadings, with iterative revision.

Phase 5: Governance, PII Masking, and Model-Provider Flexibility

Integrated client-side PII masking that sanitizes emails, phone numbers, and case IDs before text reaches models. Configured a provider-neutral model layer so each of the 20+ AI tasks can switch models through AWS Secrets Manager configuration, without code redeployment.

"Generative AI has transformed our multi-office practice from tedious administrative backlog into an automated, continuous operational engine. Our attorneys and paralegals spend less time re-typing documents and chasing court notices, and more time focusing on client advocacy."
